Honorary Appointment Procedure

Section 1 - Preamble

(1) This Procedure was approved by the Vice-Chancellor on 22 May 2012 and incorporates all amendments to 6 January 2016.

(2) This Procedure is pursuant to Regulation 3.1 (6) - Honorary Appointments and the Employment of Staff Policy. It includes the following schedules:

  1. Schedule A: Terms and Conditions - Honorary Appointment
  2. Schedule B: Honorary Appointments Committee
  3. Schedule C: Honorary Appointment Nomination Form

(3) This Procedure documents the steps required to make an Honorary Appointment.

Section 5 - Procedures

(6) The Honorary Appointment Nomination Form at Schedule C is completed for nominations for new appointments and renewals and includes:

  1. the rationale for the appointment, outlining; the specific nature of the contribution the candidate will make to the University's strategic aims
  2. the proposed term of the appointment (normally three years)
  3. details of the candidate's current position, curriculum vitae, academic and other formal qualifications and area(s) of relevant expertise.

(7) Nominations for new appointments and renewals at all levels are accepted throughout the year and reviewed monthly.

(8) The office of the Executive Dean of each Faculty sends the Vice-Chancellor a monthly report on authorised new and renewal Honorary nominations to seek approval of appointment.

(9) The Vice-Chancellor will approve Honorary Appointments pursuant to delegation of authority by Council.

(10) The Vice-Chancellor will report all appointments to Council at the next opportunity following each appointment.

Up to Level D or equivalent

(11) A Head of School or equivalent may nominate a candidate to the Executive Dean of the Faculty.

(12) Nominations are considered and authorised by the Executive Dean of the Faculty.

(13) Once approved by the Vice-Chancellor, the office of the Executive Dean forwards appointments to the Human Resources Division for processing.

(14) Human Resources Division sends a letter of offer to approved appointees.

Level E or equivalent

(15) A Pro Vice-Chancellor/Executive Dean may nominate a candidate for Level E or equivalent.

(16) The Human Resources Division arranges for consideration by the Honorary Appointments Committee.

(17) Nominations are considered by the Honorary Appointments Committee by circulation; unless a committee member requests a meeting to decide a recommendation.

(18) The Honorary Appointments Committee forwards recommendations to the Human Resources Division.

(19) The Human Resources Division collates the Honorary Appointments Committee recommendations and submits to the Vice-Chancellor for final approval.

(20) Nominations recommended by the Honorary Appointments Committee and approved by the Vice-Chancellor are communicated to the Executive Dean of the Faculty.

(21) Human Resources Division sends a letter of offer to approved appointees.

Renewal

(22) A Head of School or equivalent may nominate an existing Honorary Appointee, including existing Level E or equivalent appointments.

(23) The Faculty Executive Dean considers and authorises nominations to renew existing Honorary appointees.

(24) Once approved by the Vice-Chancellor, the office of the Executive Dean forwards appointments to the Human Resources Division for processing.

(25) Human Resources Division sends a letter of offer to approved nominees.

Section 6 - Definitions

(26) For the purpose of this Procedure:

  1. Up to Level D or equivalent: an Honorary Fellow, Adjunct Associate Professor and Honorary Associate Professor.
  2. Level E or equivalent: an Honorary Professor or Adjunct Professor.
